Environment

This article applies to Bowdoin College faculty and staff who want to share incoming call coverage with one or more colleagues. The Manage call group setting in Teams allows calls to your number to simultaneously ring — or ring in sequence — a group of people you define.

  • Platform: Microsoft Teams desktop app on macOS or Windows; settings sync to all devices
  • Who this is for: Faculty and staff only — Teams Calling numbers are not assigned to students

Resolution

Option A — Ring everyone at once (simultaneous ring)

Use this option when you want calls to reach you and your colleagues at the same time, so whoever is available answers first.

  1. Open Microsoft Teams and click the ellipsis (…) to the left of your profile picture in the upper-right corner.
  2. Click Settings.
  3. In the left menu, click Calls.
  4. Under Call answering rules, expand Manage call group if it is not already open.
  5. Click Add a call group.
  6. In the search field, type the name or Bowdoin email of each person you want to add, and select them from the results. Repeat for each member.
  7. Under Ring:, confirm that Everyone at once is selected.
  8. Click Confirm or Save.

Option B — Ring people in a specific order (sequential ring)

Use this option when you want calls to try each person one at a time — for example, try you first, then a backup colleague if you don't answer.

  1. Open Microsoft Teams and click the ellipsis (…) to the left of your profile picture in the upper-right corner.
  2. Click Settings.
  3. In the left menu, click Calls.
  4. Under Call answering rules, expand Manage call group if it is not already open.
  5. Click Add a call group.
  6. Add the people you want to include by typing their name or email in the search field.
  7. Under Ring:, click the dropdown and select In the order below.
  8. Drag the dotted handle to the left of each person's name to reorder the list from first to last.
  9. Click Confirm or Save.
Note: Call group members must also have Teams Calling enabled. If someone you added does not appear to receive calls, contact the Service Desk to confirm their account has a calling license.
Changing or removing the call group: Return to Settings > Calls > Manage call group at any time to add or remove members, change the ring order, or delete the call group entirely.
