Environment

This article applies to Bowdoin College faculty and staff who are owners of a Teams Calling call group and need to add or remove members. Call groups control who receives incoming calls on a shared department phone number.

  • Tool used: Outlook on the web — call group membership is managed through the Microsoft 365 Group associated with the shared line, not through the Teams app directly
  • Who can make changes: Only Group owners can add or remove members. If you are a member but not an owner, ask your department's call group owner or the Service Desk to make changes on your behalf.

Resolution

Both adding and removing members start from the same place in Outlook on the web. Complete steps 1–5 first, then follow the appropriate sub-steps.

  1. Open Outlook on the web and sign in with your Bowdoin account.
  2. In the left panel of the Mail view, scroll down to the Groups section and click the call group you want to manage.
  3. In the group header, click the three-dot menu (…).

  4. Click Settings.
  5. In the panel that opens on the right, click Edit Group.
  6. Click the Members tab in the window that opens.

Add a member

  1. Click Add member and search for the person by name or email.
  2. Once found, click their name to add them.
  3. Use the dropdown to the right of their name to assign a role:
    • Member (default) — receives calls but cannot manage group membership
    • Owner — can add and remove other members in addition to receiving calls
  4. Click Add to save.

Remove a member

  1. Find the person in the members list.
  2. Click the X to the left of their name.
  3. Click Yes to confirm the removal.
Changes take effect immediately. Added members will begin receiving calls to the shared number right away. Removed members will stop receiving calls as soon as they are removed.
