How do I use Secure Print on Ricoh Printers?

Most Ricoh printers have the ability to perform secure printing. What this means is that you can print a document to a printer and not have it released until you are physically at the printer and enter a unique code that you setup for the specific print job you want to print. This is a great option if you want to print private or sensitive documents. Choose your operating system below and then follow the steps to start using Secure Print.

At the Printer

MacOS / OS X

  • From inside your application, open your print dialog window.
  • Choose the printer you want to print to from the list of printers you have installed.
  • Select Job Log from the drop-down that usually defaults to the name of the application you are printing from.



    NOTE: Not every application in MacOS allows the Job Log feature. Safari, for example, does not show it and therefore locked prints can not be used.

     
  • Enter your name or username into the "User ID" field. This will simply identify you and your print jobs at the printer.
  • From the "Job Type" drop-down, choose Locked Print


     
  • Enter a numeric password for the print job and click Print.
  • Go to the printer to release your print job at the printer.

Windows

  • From inside your application, open your print dialog window.
  • Choose the printer you want to print to from the list of printers you have installed.
  • Once selected, click on the Preferences button


     
  • From the "Frequently Used Settings" tab (the default tab), click on the Job Type drop-down and choose "Locked Print". Then click the Details... button



    NOTE: You can also select "Hold Print". It works in a similar fashion except you won't be asked for a passcode at the printer.
  • In the details window you will have a drop down and two text boxes. You can click the drop down box and select "Windows Login Name" this will put text in the upper text box and gray it out so it can't be edited. Next enter a numeric password in the lower text box and click OK.

    This information will be used to select the print job on the printer and print it only when the password is entered.


     

  • Click OK and then print as you normally would.

At the Printer

  • Go to the printer and bring up the printer function on the multi-function unit or MFP so that you can view the print jobs and release yours. You do this by pressing the printer button or choosing the printer function on the touch screen display. Then choose the "Print Jobs" tab, and click on your User ID.

    *Depending on printer model this process may vary slightly.


     

  • You will see a list of print jobs you have sent to the printer using that User ID. Select the one you want to print by clicking it so it is highlighted, then click the "Print" button.

  • Enter the passcode that you set for the print job and tap OK.


     

  • Confirm your print on the confirmation window by tapping Print and the print job will print.
