Issue/Question

  • I am an employee leaving the college, but need more time to move some important emails, can I request an account extension?
  • I've received approval for an account extension, what does that mean?
  • I was approved for an account extension, but I can't log in to my account? Why was it disabled?

Environment

Account extensions allow faculty, staff, and students additional time to access their email and OneDrive files after their time at Bowdoin has ended, whether due to graduation or leaving the college for other reasons. Extensions should be requested in advance of leaving the college.

Resolution

Students can receive a one-time, 90-day extension without the need for approval.

Faculty, staff, and students (after their one-time extension), require approval from various parties and the extension request must be made before the account is disabled. Use the Account Extension Request form to make a request.

Account Extension Process

An automated process deactivates all accounts at or around 5:00 PM EST on the day of account termination. If approved for an extension, the email account will be re-enabled on the following College business day.

For example, if an employee’s last day is on a Friday and they are approved for an extension, their account will be disabled around 5:00 PM EST that day and re-enabled on the following Monday. If Monday is a holiday, the account will be re-enabled on the next business day.

Does the automated process have to run?

Yes. The automatic disabling of an account is necessary to remove any permissions that may exist, such as access to network folders, shared email, and calendars.

What do I get access to with an account extension?

By default, an account extension provides access to email and OneDrive files. The automated process removes all network folder access, shared mailbox permissions, and other online access. The extension is intended to allow the requester to move non-Bowdoin information, such as personal email correspondence, contacts, and personal files, to an alternative location.

If there is a need to restore other permissions, please inform the Service Desk staff member assisting with the account extension to discuss options.
