Information Technology can provide account extensions for former employees and students within 90 days of their departure from the college.
NOTE: A request does not need to be made for the sole purpose of an Automatic Reply. It is recommended that all people leaving the college set an Automatic Reply leaving instructions for others who may email you. This could be with information about how to contact you in the future or on how to reach someone else at the college.
Students
Students will lose access to their accounts on October 31 of their graduation year. If a student leaves the college and does not graduate, the account is removed as soon as the student leaves the college.
Students may request an email account extension if they need more time to migrate the contents of their account. Approval by a Dean is not required for the first request.

All Students Extension Requests:
All graduated student accounts will be terminated on January 31 following the disabling of accounts on October 31. Any extension request after October 31 will not be extended beyond January 31, even if a longer time frame is requested.

Faculty
Faculty and staff both have their account access removed at the end of the business day on their last day as provided by HR. Faculty may request an extension to allow them to complete their academic work, post grades, etc. All requests are subject to approval by the Dean of Academic Affairs Office.

Staff
Staff can request an account extension for continued access to their account beyond their termination. Requests can be completed by contacting the Service Desk. A technician will create a request on the former staff member's behalf. All requests are subject to approval by the head of Human resources or a delegate.
Please note: Providing access to an email account by anyone, including a manager or supervisor, requires HR approval and can not be handled through this request form.

When is my account deactivated?
- Student Accounts are deactivated on October 31st of their graduation year, or for non-graduates, within 30 days of leaving college
- Staff and Faculty accounts are deactivated at the close of business on the employee's last day as provided by HR.
Can I extend my account?
You can fill out the form to request an extension. All account extensions must be authorized and approved.
A Student's first extension request requires no approval. Any further requests must be authorized by the Dean of Student Affair's Office.
Faculty extensions are approved by the Dean of Academic Affairs Office.
Staff extensions are approved by the head of Human Resources.
Can I have more than one extension?
A graduate may request a one-time extension renewal by clicking the Request Service link on the right. The extension request must be submitted prior to the mailbox termination, which is January 31. After that date, all mailboxes will be deleted and extensions will not be possible.
In rare cases, if requested BEFORE the end of the first extension, a student may be provided an additional extension at the discretion of the Dean of Student Affair's Office.
What is the account extension process?
An automated process will deactivate all accounts at or around 5:00 PM EST on the day of the account termination. If approved for an extension, the email account will be re-enabled within 3 business days after the extension is approved (if required) or submitted (if no approval necessary).
For example, if an employee's last day is on a Friday, and they were approved for an account extension, their account will become disabled at around 5:00 PM EST that day. The account will be re-enabled the following week, by the end of the day on Wednesday.
