Environment

This article applies to all current Bowdoin faculty and staff who have been granted access to a shared Outlook calendar and want to view it in Outlook Online in a web browser.

  • Platform: Any modern browser (Safari, Chrome, Firefox, Edge) at outlook.office.com
  • Requirement: The calendar owner must grant you access before the calendar will be visible to you. To request access, contact the calendar owner directly or submit a request through the Service Catalog.
  • Not covered: Outlook for Windows or Outlook for Mac — see the Related Articles section for those platforms

Resolution

Add a shared calendar in Outlook Online

  1. Sign in to Outlook Online at outlook.office.com using your Bowdoin email address.
  2. Click the Calendar icon in the left navigation bar.
  3. In the left panel, click Add calendar.
  4. In the window that opens, select Add from directory.
  5. Make sure your Bowdoin account is selected in the account drop-down if prompted.
  6. In the search field, type the name or email address of the person whose calendar you want to view. Select them from the results.
  7. Click Add.

The shared calendar will appear in the left panel under People's calendars and events from that calendar will overlay on your calendar view. A colored dot next to the calendar name helps distinguish it from your own events.

Tip: You can customize the display color of a shared calendar to make it easier to distinguish at a glance. Click the three dots (…) next to the calendar name in the left panel and choose a color.

Toggle a shared calendar on or off

Once added, a shared calendar can be shown or hidden without being removed. In the left panel, check or uncheck the box next to the calendar name under People's calendars.


Remove a shared calendar

To remove a shared calendar from your Outlook Online view:

  1. In the left panel, locate the calendar under People's calendars.
  2. Click the three dots (…) next to the calendar name.
  3. Select Remove.
Note: Removing a shared calendar from your view does not revoke the access the owner granted you. You can re-add it at any time. To revoke access, the calendar owner must update your permissions — see How to manage permissions in a shared calendar in the Related Articles section.
