Student Mailbox Migration to Office 365 Exchange Online

On November 15th, all student mailboxes will be migrated from our on-premises email system to Microsoft Exchange Online, part of the Office 365 suite.   

All current email, calendar items, contacts and tasks will migrate completely to Exchange Online starting at 1:00am on November 15th.  Mailboxes will migtate on a rolling basis, so not all mailboxes will be complete at the same time.

After your mailbox moves, your phone and computer will not receive new email until you:

Tip:  If you receive a redirect page when you log in to Webmail.bowdoin.edu, you will know that your mailbox was migrated.  
You may receive an error saying "Something went wrong".  If so: Clear your web browser’s cache and cookies and restart your browser or go to Office365.bowdoin.edu.

 

After your account has been migrated, access your email using the Office 365 Mail App at office365.bowdoin.edu.

Preparation for Mailbox Migration

Since you can’t make any configuration changes to your email applications until your mailbox migration is complete, there is nothing essential you need to do to prepare.

However, if you use the Desktop version of Microsoft Office on your computer, we suggest using a fully updated version of Microsoft Office 2016.

  • Download Office 2016: If you don’t have Office 2016 installed, you can download it from the Office365 Portal at https://office365.bowdoin.edu.  The Install Office 2016 button is located towards the upper right corner of the window.
Note: Uninstall previous versions of Office before installing Office 2016.
  • Check for Updates: If you already have Office 2016 installed, make sure it is up to date.
    • OS X: Open an Office application and click on Help > Check for Updates.
    • Windows 10: Click on the Start Button > Settings Gear > Update & Security > Windows Update > Check for Updates.

Reconfigure Office 365 Email

If your mailbox was migrated to Office 365, you need to make the changes listed below to continue using your preferred email clients.

Outlook Web App

Log into the Office 356 Portal at office365.bowdoin.edu and click on mail.

Note: After your mailbox has been moved, logging on at Webmail.bowdoin.edu will display a page with a redirect link that takes you to the Office 365 Outlook Web App.   If clicking on that link displays an error or if the Outlook Web App does not load, please Clear the Browser’s cache and cookies.

iOS Mail App

After your mailbox is migrated to Exchange Online, you may need to remove and re-add your Bowdoin mail account if it stops sending/receiveing emails.

To remove your Bowdoin Exchange account from iOS Mail:

  • Touch Settings > Accounts & Passwords.
  • Touch Exchange (or the name of your Bowdoin account).
  • Touch Delete Account and confirm by touching Delete from My iPhone.

To add your Bowdoin email to iOS Mail after mailbox migration:

  • Touch Settings > Accounts & Passwords.
  • Touch Add Account > Exchange.

     

  • Enter your Bowdoin email address, account Description and then touch Next and Sign In.
  • Enter your email address/password at the Bowdoin organizational logon page.
  • Touch Accept to give iOS permission to access your account.
                                                                                                      

 

The Outlook app for iOS, Android and Windows mobile devices

The Outlook app lets you manage your Bowdoin email, calendars, contacts and files and add other email accounts in one mobile app.   To install the app on your mobile device, go to https://www.microsoft.com/en-us/outlook-com/mobile/

If you already have the Outlook app configured, you will need to remove and re-add your account.

  • Open the Outlook App
  • Tap Login at the message We are having trouble accessing your accout....
  • Tap the trash can in the upper left corner of the Exchange configuration window.
  • Confirm deletion of your account by tapping Delete.

To configure the Outlook app:

  • Open the Outlook App
  • Touch Get Started
  • Enter your Bowdoin email address and touch Add Account
  • Enter your email address and password at the Bowdoin Organizational sign-in page and touch Sign In.

 

Set up email in Android email app

Server: outlook.office365.com

Outlook 2016 for Mac

  • Close and re-open Outlook.
  • At the following window, select Always use my response for this server and click Allow. 

 

  • Click on Outlook in the menu bar > Preferences > Accounts.
  • Change the user name to <your username>@bowdoin.edu.
  • Click Advanced.
  • Change the Microsoft Exchange Server address to https://autodiscover.bowdoin.edu:443

  • Click Ok, close Outlook Preferences. 
  • Quit Outlook, re-launch.

 

Outlook 2016 for Windows

Close and re-open Outlook for the changes to your mail account to take effect within the Outlook client.  You may be prompted with a Microsoft Outlook Windows Security window.  If so, enter password > select Remember my credentials > click Ok.

 

Apple Mail

After your mailbox is migrated to Exchange Online, you will need to remove and re-add your Bowdoin account.

To remove your Bowdoin Exchange account from Apple Mail:

  • Go to Apple Menu > System Preferences and choose Internet Accounts.
  • Click on Exchange in the left column and then click the ­– button to delete the account.
  • Click Ok at the following screen to confirm deleting the account from Apple Mail.

POP to Gmail

If you have Gmail configured to POP your Bowdoin email, you will receive the following error after your mailbox has been migrated.

Authentication Error: Server returned error "Logon Failure: unknown user name or bad password"

To resolve, make the following changes in Gmail:

Go to Settings > Accounts and Import > Check mail from other accounts

Choose edit info next to your Bowdoin account.

Username: <BowdoinUsername>@bowdoin.edu
POP server to: outlook.office365.com.
Port: 995
Leave a copy of retrieved messages on the server. 
Always use a secure connection (SSL) when retrieving mail.
