Logging into Workday for the First Time for Third Party Users

Overview of Process

Users who have been granted third-party access to Workday by a Bowdoin student must enable email authentication upon logging in to Workday for the first time. Please keep in mind that only students can assign Third Party Access Permissions. This includes creating a Friends and Family Contact, marking them as a Third Party User, and Managing their Access Permissions. Please refer to the Third Party Access Permissions job aid and video for walkthrough of this process.

Third Party Access Emails

Upon your student or students granting you third party access to their Workday account, you receive two emails from Workday: one containing your Workday username and the other with a temporary Workday password.  Below are examples of what these emails look like.

Logging into Workday for the First Time

  • Use the URL in the emails from Workday to navigate to the Bowdoin Workday Sign-In page.
  • Sign in to Workday from your computer using the username and temporary password provided in the two emails.

    Third Party User enters Workday assigned Username and Temporary Password in the Username and Password fields of the Bowdoin Workday Sign-In page. Third Party User clicks Sign In.
     
  • You will then be prompted to set a new password for your account.
  • In the Old Password field, enter your temporary password that Workday sent you. 
  • In the New Password and Verify New Password fields, enter the new password you would like to set up for your Workday account.
Note: It is recommended to create a strong password with 8-16 characters that contains letters of varying case, numbers, and allowed symbols.
  • When done, click Submit

    The Change Password screen displays. Third Party User enters Workday Assigned temporary password in the Old Password field and a new password in the New Password and Verify New Password fields before clicking Submit.
     
  • Enter your email address. This should be your personal email and will be used to verify your identity every time you log into Workday. 
  • Click the Send to Email button. This will trigger Workday to email you a verification code to verify your identity.

  • Check your email for an email from bowdoin@myworkday.com containing the verification code
Note: Keep in mind that it may take a few minutes for the email from bowdoin@myworkday.com to appear. If after some time you still don’t see it, be sure to check your Spam folder in case the email was filtered there by your email settings. 
  • Copy down the verification code. Below is an example of what the email and verification code look like.

  • Return to Workday’s Enter Verification Code screen. 
  • Enter the Verification Code
  • Click Continue.

  • Upon successfully entering the correct verification code, the Success screen will appear. This informs you that you have successfully set up Email Authentication and that you will now receive verification codes to your email when logging into Workday in the future. 
  • Click Done to proceed to the Workday Homepage.
