How to cancel an appointment in Microsoft Bookings

Questions

  • How do I cancel an appointment made through Microsoft Bookings?
  • Why can't I cancel a Bookings appointment by deleting it from my Outlook calendar?

  • How do I cancel a student's office hours appointment in Microsoft Bookings?

Environment

This article applies to Bowdoin College faculty and staff who own or manage a Microsoft Bookings calendar. While Bookings syncs with Outlook for availability, appointments made in Bookings must be cancelled within the Bookings platform — deleting an appointment from your Outlook calendar will not cancel it in Bookings.

Resolution

  1. Go to Microsoft Bookings and sign in with your Bowdoin account.
  2. Click the Calendar tab in the left-hand menu.
  3. Locate the appointment you want to cancel and click on it to open its details.
  4. Click Cancel.
  5. Optionally, add a message to include in the cancellation email sent to the attendee.
  6. Click Cancel Booking to confirm.
  7. Verify that the appointment has been removed from your Outlook calendar.
Important: Always cancel Bookings appointments from within the Microsoft Bookings website. Deleting the appointment from your Outlook calendar does not cancel it in Bookings, and attendees will not receive a cancellation notification.
