Reinvite a Guest to a Microsoft 365 Group Using a New Email Address

Questions

  • How can I change the email address of a guest user in a Microsoft 365 Group?
  • Is it possible to update a guest's email without removing and re-adding them?

Environment

This article applies to users managing Microsoft 365 Groups. It is relevant when a guest (external user) who previously joined a group with one email address now requires access using a different email. This situation may occur if a guest changes jobs, gets a new domain, or an error was made in the original invitation. 

Resolution

Currently, Microsoft does not allow direct editing of a guest user’s email address once added to a Microsoft Group. To resolve this, the guest must be removed and re-invited using their new email address. Follow these steps:

  1. Select Groups in the App bar located in the left of the window.
  2. Under the Group name, select the text showing the number of members.
  3. Next to the person you want to remove, select Remove from group.
  4. Select Yes to confirm.
  5. Select Groups in the App bar located in the left of the window.
  6. In the left pane, under Groups, select the group you want to invite people to join.
  7. Under the Group name, select the text showing the number of members.
  8. Select Add members.
  9. Enter the email address of the person outside of Bowdoin you'd like to add as a guest. 
  10. Select Add.
  11. The guest will receive a new invitation to join the group using their updated email address.
  12. Once they accept, they will regain access — however, note that past conversations and shared files need to be re-shared if needed.

If the guest had access to shared files via SharePoint or OneDrive for Business, you’ll need to update the sharing permissions separately to reflect the new email address. Always verify the user's access after re-inviting to ensure no sharing gaps.
