Create or Edit Staff Profiles for the Bowdoin website

Environment

This article applies to Bowdoin website editors who maintain sites in the Cascade Content Management System (CMS) and have access to the Faculty and Staff Profiles site.

  • Audience: Staff and faculty editors who maintain online profiles for the Bowdoin website (www.bowdoin.edu).
  • Scope: Creating, editing, and deleting staff profiles. For faculty profiles, see How to Edit Faculty Profiles in the Related Articles section.
Note: Changing your photo for the website does not change your OneCard ID photo or the photo in the online directory. It only changes the photo on your Bowdoin website profile.

Resolution

Get Access to the Profiles Site

  1. Log in to the Cascade Content Management System (CMS).
  2. In the site chooser, navigate to the Faculty and Staff Profiles site.
No access? If you do not have access to the Profiles site, sign up for an upcoming training class by submitting a website service request.

Create a New Staff Profile

  1. Click the Add Content button on the navigation bar and select Staff Profile.
  2. In the Folder Name field, enter the Bowdoin username associated with the staff member. Do not include "@bowdoin.edu" — just the username (e.g., crose, not crose@bowdoin.edu).
  3. Click Submit.

Within the staff folder you should now see the username folder; all subfolders are arranged alphabetically by username. This profile folder contains an images folder, a pdfs folder, and an index page by default.


Edit a Staff Profile

  1. In the Faculty and Staff Profiles site, navigate to the relevant profile folder (sorted alphabetically by Bowdoin username).
  2. Click the folder's index page, then click Edit.

As you edit, your changes auto-save; however, for best results save periodically by clicking Preview Draft, then Submit.

Publishing: To publish your changes, click Publish. For best results, publish your entire profile folder.

Profile Fields

  • Display Name: The name of the staff member as it should appear on the page.
  • Title: The staff member's name without any suffix; this field alphabetizes profiles on individual subsites. Display Name and Title are usually the same.
  • Primary Affiliation: Select the relevant department from the drop-down. You may select only one primary affiliation.
  • Secondary Affiliation: Select secondary department(s) from the drop-down. You may select multiple.
  • Position: The staff member's official title (as recorded in Workday).
  • Hide: Use to hide the profile from the associated department/office faculty/staff pages. The profile defaults to displaying.
  • Intro Sentence: A brief one-sentence intro; displays in slightly larger, bolder text. Do not include more than one sentence.
  • Main Content: The staff bio. Add links, bullet points, etc. using the WYSIWYG buttons.
  • Add Accordions: Click the Yes checkbox and fill in the fields that appear. Use the plus icons to add accordions, the up/down arrows to reorder, and the red x icon to delete an accordion.

Profile Sidebar Section

  • Image File: Upload the headshot here (.jpg or .png), dimensions 250x300. Click Choose File, then the Upload link. In the Select a placement folder field, browse to the images folder within the profile. Drop the image in the dotted-line area or choose it from your computer, then click Choose.
  • Link List: Add links to a personal website, department site, etc. as a bullet-pointed list. The Related Links Heading is the list heading; each link is an item in the list.
Reminder: The sidebar image does not replace the online directory photo or your OneCard ID photo — it only changes the photo on your Bowdoin website profile.

Delete a Staff Profile

  1. In the Faculty and Staff Profiles site, navigate to the relevant profile folder (sorted alphabetically by Bowdoin username).
  2. Right-click the folder and select Delete.
  3. In the confirmation dialog, make sure Unpublish Content is checked and that both destinations (draft-view.bowdoin.edu and www.bowdoin.edu) are checked. Click Delete.

The folder goes into the Trash Can. Once the cache expires, the staff profile URL will 404.

Important: You must re-publish any page on which the profile previously appeared for it to disappear. For example, if a staff member leaves the Computer Science department, first delete the staff profile, then republish the Computer Science "Our Faculty and Staff" page to remove the profile block from it.

Reminders and Tips

  • Some information auto-populates from other College platforms:
    • The Teaching This Semester section in the sidebar (if relevant) auto-populates from the registrar's office. If it is inaccurate, contact the registrar's office.
    • Contact information (phone, email, office location) is pulled from the online Directory. If incorrect, contact HR to update it.
  • For best results, do not paste bios directly from Microsoft Word. Copy content into a plain text editor (TextEdit on a Mac, Notepad on a PC) and paste from there instead.
  • Be mindful of file names (hero images, headshots, PDFs). They may not appear on the profile, but they affect URLs and are visible to users downloading files:
    • Use lowercase letters.
    • Keep file names short and descriptive.
    • Remove special characters.
  • Staff profiles are meant to be a one-page summary, not a standalone website.
Don't forget! The Faculty and Staff Profiles site is shared across many editors around campus. Put image files and PDFs in the appropriate user's folder, and do not edit profiles outside of your purview.
