HP Printer Replacement Project - Completed

General Information

The College has recently updated our agreement with Budget Data Technologies (BDT) to replace more than 40 vintage and older HP printers that are still used but haven't been updated or replaced, in some cases, 20 years!

This printers being replaced will be like-for-like, which means if a printer is currently a black and white printer, it will be replaced with a black and white printer, and the same goes for color devices. The new printer models were chosen and recommended by BDT based on the last 2 years of printing data and will be designed to handle the workloads each office does.

The two biggest changes with this upgrade are the printer names and how you install the printers on your computers. Naming will continue the way it was when the Ricoh printers were replaced, the printers will now be named based on their location, which in most cases will be building-room. Installation will now be done through PaperCut Print Deploy instead of doing it by hand. Once ready, you'll be able to open Print Deploy, select the new printer's name, sign in with your email address and password, and the printer will install.

PaperCut Details

As with the Ricoh Printers, the new printers will be managed in PaperCut, however since there are no touch screens on the new devices, you won't need to release these documents. You will select the printer to print to, print, and your document(s) will be waiting at the printer for you, exactly as it is done now.

Printer removals

In addition to the printers that are being replaced, more than a dozen vintage printers have been identified to be removed. This decision was made based on the data. Print job counts have been collected for up to two years on all non-Ricoh printers, and the ones slated for removal and recycling have not had any print jobs sent to them in at least 12 months.

Printer renames

Finally, there are 16 existing Lexmark printers that are NOT being replaced but once the replacements are complete, these last 16 devices will be renamed and moved to be managed by PaperCut. Information about those printers will come later on.
