List SharePoint or OneDrive Files That Are Shared With People Outside My Organization

  • How can I get a list of SharePoint or OneDrive files that are shared with people outside my organization?
  • Can I download a CSV report of externally shared items from a specific site?

Environment

This article applies to Microsoft 365 SharePoint Online and OneDrive for Business. It describes options for site owners and OneDrive owners to quickly export a list of items shared with external users.

Resolution

SharePoint site: Export “Shared with external users” (site owners)

Notes: This export lists only items shared with external users for that specific site. It does not include internal sharing or full permission inheritance details.

  1. Open the target SharePoint site in a browser.
  2. Select Site contents from the left navigation or the Settings gear menu.
  3. Choose Site usage (top-right of the Site contents page).
  4. Locate the “Shared with external users” card and select Download (CSV).
  5. Open the CSV. Typical columns include item name, URL, who it’s shared with (external emails), and permission type (view/edit/link).

OneDrive: Review and export items you shared externally (OneDrive owner)

Tips: External users will appear as guest accounts or non-company email addresses. “Anyone with the link” indicates anonymous access, which is external by nature.

  1. Go to OneDrive on the web and sign in.
  2. Select Shared in the left navigation.
  3. Open the Shared by you tab to see items you’ve shared.
  4. Use filters or search to locate items shared with external people (look for guest emails or “Anyone with the link”).
  5. If Export to Excel is available in your tenant, select items and export. Otherwise, open an item’s Details (the “i” pane) > Manage access to identify external recipients and record them.
