Environment
Many people need to scan documents as part of their job. With PaperCut, most multi-function devices (MFDs) on campus can scan documents directly to a person's email address or OneDrive folder without any special setup by IT.
Resolution
Please Note: If using the default settings, scan to email will only support 15-20 page documents. There is an email size limit of 35 MB for Bowdoin's M365 system and it must include any email text, and other miscellaneous data so an attachment may need to be a little under 35 MB.
PaperCut scans to optical character recognition (OCR) and scans at 300 DPI by default, which causes documents to be larger than expected. You might be able to increase the page count allowed through email by lowering the resolution/DPI (dots per inch) and scanning to black and white only.
For documents larger than 15-20 pages, it is recommended to scan to OneDrive.
The following steps will walk you through scanning to your Bowdoin email address from a PaperCut device.
- Go to an MFD that has PaperCut installed.
- Tap your Bowdoin ID or sign in to the PaperCut interface on the printer's touch panel.
- Tap the Scan button
- On the "Scan" screen, you will see all of the choices available to you. To scan to your email account, tap on Scan to My Email
- On the "Scan to My Email" screen, you can change the file name and email message subject. You can also tap on Settings to change any of your scan settings if you wish. The default options are
- PDF
- Color
- 1-sided
- Letter
- Portrait
- 300 DPI
- You can have PaperCut prompt you for more pages by checking the box next to "Prompt for more pages".
- When ready, tap the Start Scanning button.
- The document will be processed. If you scanned to PDF (the default) it could take a few minutes to arrive in your inbox as the PDF is converted to OCR. You will receive an email with the scanned document(s). If there is an error, you will receive a message. If you continue to receive an error message, contact the Service Desk with that error and they can assist.
