Environment

This article applies to Bowdoin College faculty and staff who have Teams Calling enabled on their account. It covers how to record or change a personal voicemail greeting.

  • Desktop app: macOS (Sequoia 15.x, Tahoe 26.x) and Windows 11
  • Desk phone: Teams-compatible Poly phone
  • Mobile app: iOS and Android

Resolution

Teams desktop app (Mac or Windows)

  1. Click the ellipsis (…) to the left of your profile picture in the upper-right corner of the Teams window.
  2. Click Settings.
  3. In the left menu, click Calls.
  4. Scroll down to the Manage voicemail section.
  5. Choose how you want to set your greeting:
    • Record a greeting — click this button, then follow the on-screen prompts to record your greeting using your microphone. When finished, click Stop, review the recording, and save it.
    • Text-to-speech customized greeting — type the greeting text into the field and Teams will convert it to a spoken greeting automatically.

Teams desk phone (Poly)

  1. Tap your profile picture or initials in the upper-right corner of the phone screen.
  2. Tap Settings (gear icon).
  3. Tap Calling.
  4. Under Voicemail, tap Change voicemail greeting.
  5. The phone will dial into the voicemail system. Follow the voice prompts to record, review, and save your new greeting.

Teams mobile app (iOS or Android)

  1. Tap your profile picture or initials in the upper-left corner of the Teams app.
  2. Tap Settings (gear icon).
  3. Tap Calling.
  4. Under Voicemail, tap Change voicemail greeting.
  5. The app will dial into the voicemail system. Follow the voice prompts to record your new greeting. Allow Teams to access your microphone if prompted.
Tip: You can update your greeting at any time by returning to these settings. There is no limit on how many times you can re-record.
