Environment
This article applies to Bowdoin faculty, staff, and students. Microsoft 365 lets you share your own email mailbox with other Bowdoin faculty, staff, and students, and lets you access mailboxes that have been shared with you. You must already have been granted access to a shared mailbox before it can be opened.

Resolution
Use the steps for the version of Outlook you are using. To add a shared mailbox, you type the name or email address of the person or mailbox that has been shared with you.
Open a Shared Mailbox in Outlook for macOS
- Open Outlook.
- In Outlook, click Tools in the menu bar.
- Click Accounts....
- Select the Bowdoin account (it should be selected by default).
- Click Delegation and Sharing on the right.
- Choose the Shared With Me tab.
- Click the + under the "Open these additional mailboxes" section.
- In the Open Mailbox... window, type the name or email address of the person or mailbox you are trying to add.
- Once it is located, select the name from the list and click Add.
- Click Done to exit.
- Close the "Accounts" window.
- Click the Home tab, then click the Send & Receive button on the right in the ribbon.
Open a Shared Mailbox in Classic Outlook for Windows
- Open Outlook.
- In Outlook, click File in the menu bar.
- Click Info in the left column, then click Account Settings on the right in the "Account Information" pane.
- Choose Account Settings again from the drop-down menu.
- In the "Account Settings" window, click Change... on the "Email" tab.
- Click More Settings... in the lower right.
- Click the "Advanced" tab.
- Under the "Mailboxes" section, click the Add... button.
- Type the name of the account you are trying to open, then click OK.
- Click OK on the "Microsoft Exchange" window.
- Close the "Exchange Account Settings" window.
- Click Close in the "Email Accounts" window.
- Back in the main Outlook window, the shared account appears under your mailbox in the list of folders on the left.
Open a Shared Mailbox in New Outlook for Windows
- Open Outlook.
- In the folder pane, right-click your account name (email address) and select Add shared folder or mailbox.
- In the Add shared folder or mailbox window, type the name of the mailbox you want to access.
- Select the account from the list, then click Add.
- In the folder pane on the left, locate the Shared with me folder and click it to expand it. The shared mailbox appears as a subfolder under Shared with me. Select the name of the shared mailbox to expand it and show the standard email folders, such as Inbox, Drafts, and Sent Items.
Open a Shared Mailbox in Outlook on the Web
- Sign in to Outlook on the web at
outlook.office.com.
- Click your icon in the upper-right corner.
- Click Open another mailbox... from the list of options.
- In the "Open another mailbox" window, start typing the name of the person or mailbox you want to open. Once the name appears, select it from the list.
- Click Open.
- The mailbox opens in a new tab or window in the browser.
Open a Shared Mailbox in Outlook on the Web and Have It Appear Under Your Inbox
- Sign in to Outlook on the web at
outlook.office.com.
- Right-click Folders in the left navigation pane, then choose Add shared folder.
- In the Add shared folder dialog box, type the name or email address of someone who has shared a mailbox with you, then click Add. You can also type the name of a shared mailbox you are a member of.
- The shared mailbox displays in your Folder list in Outlook on the web. You can expand or collapse the shared mailbox folders as you can with your primary mailbox. To remove it, right-click the shared mailbox, then click Remove shared folder.
