Environment

This article applies to users of Microsoft Teams who have Teams Phone enabled for their work or school account. It covers how to record or change your personal voicemail greeting using the Teams Phone device, the Teams desktop app (Windows or Mac), and the Teams mobile app (iOS or Android). Users should have access to their Teams account, be able to sign in, and have permission to manage their voicemail. These instructions are suitable for both remote and onsite users who need to personalize their voicemail greeting.

Resolution

  1. Recording a Greeting from the Teams Desktop App:
    1. Open the Microsoft Teams app on your computer and sign in.
    2. Click on the ellipses (...) to the left of your profile picture in the top-right corner and select Settings.
    3. Choose Calls from the left menu.
    4. Scroll down to the Manage Voicemail section.
    5. In the window that appears, click Record a greeting.
    6. Follow the prompts to start recording your new voicemail greeting. When finished, click Stop.
    7. Listen to your recording. If satisfied, save it. If not, you can re-record before saving.
  2. Recording a Greeting from a Teams Phone Device:
    1. Pick up the handset or use the speakerphone on your Teams Phone device.
    2. Tap your profile picture or initials at the top of the screen.
    3. Tap the Settings (gear icon).
    4. Tap Calling.
    5. Under the Voicemail section, tap Change voicemail greeting.
    6. Follow the voice prompts to reach the greeting options.
    7. When prompted, select the option to record a personal greeting.
    8. Record your greeting after the beep. When done, follow the instructions to listen, save, or re-record your message.
  3. Recording a Greeting from the Teams Mobile App:
    1. Open the Microsoft Teams app on your smartphone or tablet and sign in.
    2. Tap your profile picture or initials at the top of the screen.
    3. Tap the Settings (gear icon).
    4. Tap Calling.
    5. Under the Voicemail​​​​​​​ section, tap Change voicemail greeting.
    6. Follow the voice prompts.
    7. Allow Teams to access your microphone if prompted. Speak your greeting clearly, then stop the recording when done.
    8. Listen to your message and save it if you are satisfied, or re-record as needed.
  4. Once you have recorded your personal greeting using any of these methods, it will be activated for your Teams voicemail. You can update or re-record your greeting at any time by repeating these steps.
