Environment
Faculty and staff responsible for a shared phone number or phone line.
Resolution
These instructions are for changing the Voice Mail Greeting that callers get when they call a department or shared Teams Call line. If you are looking for instructions on setting up your personal Teams Calls voice mail please refer to this Knowledge Base article.
Method One: Recording a personal greeting and providing it to IT
If you want to use a voice mail greeting using a recording created by you or a member of your team, you'll need to record the message you want to use in the greeting then send it to Information Technology (IT) to put in place for you. The easiest way to create the recording is to call your phone and leave yourself a voice mail with the greeting you want to use. When the voice mail is sent to your email you can download the attached audio file and send it as an attachment in your email to servicedesk@bowdoin.edu.
- Call your personal Bowdoin number, when you get to your voice mail leave the greeting you want to use as the message to yourself.
- Go to your Bowdoin email, find the transcript of the voice mail that you left and download the mp3 file that is attached to the email.
- Email servicedesk@bowdoin.edu.
- In the subject line and the body of the email please include: That it is a voice mail greeting change request. The number that you want to change the greeting for, and the date that you'd like have the change effective for.
- Attach the recording that you downloaded and send the email to the Service Desk to complete, keeping in mind that these requests will only be processed during normal business hours (8:30am-5pm, Mon-Fri).
Method Two: Providing the text to be used for voice mail greeting.
If you are not interested in recording a person message to be used as a greeting for the dept. or shared Teams Calls line, you can provide IT with the text that the greeting needs to contain and we can use a program to convert the text to audio and provide it to IT to put in place. This is an easier solution to Method One but the voice used to read the greeting will be computer generated and will not have the same personal feel as an actual recording of a real person.

- In the subject line and the body of the email please include: That it is a voice mail greeting change request. The number that you want to change the greeting for, and the date that you'd like have the change effective for.
- In the body enter the exact language you would like to be used in the greeting. We will be entering this text, exactly as is into the software creating the audio so please make. sure that you are happy with the greeting's language before sending it.
