Quick guide to using PaperCut on a multi-function device (MFD)

The PaperCut software is installed on most multi-function devices (printers/scanners/copiers/faxes) on campus. This guide will step you through how to use PaperCut on the device. Click or tap on a button below to be taken to a corresponding section.

Why PaperCut?

Bowdoin began transitioning to PaperCut in the fall of 2022 in for a variety of reasons:

  • Accessibility - enhanced capabilities to provide accessible scanned documents for all scanned items without the need for special software or additional processing.
  • More modern scan options - ability to scan to more locations, including email, OneDrive, Microsoft Teams, and Sharepoint.
  • Enhanced security - documents can only be released by the person who printed them, or in some locations, a defined print administrator.
  • Environmental impact - PaperCut will only print documents that are released at print stations. The college saved almost 50,000 sheets of paper in the fall of 2022 with documents that were sent to a printer, but never released!

Print / Release

There are a few steps involved for a successful print:

Log in to the PaperCut software on the printer

  • There are three options to sign in to the PaperCut software on a printer.
    • Tap your OneCard ID on the reader available.
    • Sign in with your Bowdoin username and password
    • Sign in with your Bowdoin ID

Release your document(s)

  • Once you've signed in to PaperCut, tap Print release

  • You will be shown the list of print jobs associated with your Bowdoin account. You will NOT be able to see anyone else's print jobs.


     
  • Select the document you'd like to print and tap on it.
  • You will be shown the details of the document. If you'd like to proceed, tap Print.

Scan

You can scan to a variety of locations through PaperCut. Each PDF scanned is sent to an optical character recognition (OCR) processor to be converted to a searchable and accessible PDF and then delivered to the destination you have selected.

Log in to the PaperCut software on the printer

  • There are three options to sign in to the PaperCut software on a printer.
    • Tap your OneCard ID on the reader available.
    • Sign in with your Bowdoin username and password
    • Sign in with your Bowdoin ID

Scan your document(s)

  • Tap Scan on the screen.


     
  • The scan destination screen will open. From here you may see a variety of scan destinations. The most common destinations are
    • Scan to My Email
    • OneDrive
  • Tap on the destination of your choice.
  • On the "Scan to My Email" or "Scan to OneDrive" screen, edit the file name and, for email, the subject line, if you wish.
    • You can also tap on the Settings button to change any of the default scan presets to something else.
  • If you have more than one page to scan, and you're not using the document feeder, you can check the box to "Prompt for more pages"
  • When done, tap Start Scanning


     
  • Your scanned document will be delivered to the destination of your choice. If there is an error, you will receive an email letting you know that something has gone wrong.

Copy

You can perform traditional file copy tasks on a PaperCut device. These steps will take you outside of the PaperCut software once logged in in order to use the device's native copy functionality.

Log in to the PaperCut software on the printer

  • There are three options to sign in to the PaperCut software on a printer.
    • Tap your OneCard ID on the reader available.
    • Sign in with your Bowdoin username and password
    • Sign in with your Bowdoin ID

Access the Copier Functions

  • To access the copier functions, tap on Device Functions


     
  • Tap on Copy


     
  • You can use the native copy options to choose the number of copies, the DPI, duplex/simplex, etc.
  • When ready to copy, tap the Copy button.


     
  • When done, tap the Log Out button at the top of the screen or you can tap the back arrow icon at the bottom of the screen twice to be returned to the PaperCut interface.
