This guide explains how to sync Microsoft Teams files to your laptop for management in File Explorer (Windows) or Finder (macOS) and how to move files from your computer or network folder into a Teams channel.
Steps to Sync and Manage Teams Files Locally
1. Set Up OneDrive
Open OneDrive on your laptop and sign in with your Microsoft 365 (Bowdoin) account. OneDrive manages syncing for both Teams and SharePoint libraries.
2. Sync Teams Files from a Channel
Files shared in Teams channels are stored in connected SharePoint libraries. To sync them:
- In Teams, go to the channel and click the Shared tab near the top of the channel view.
- Click Sync in the toolbar. If you don’t see it, click the … (more options) menu to find it. To sync only a specific folder, navigate into that folder first, then click Sync.
- When prompted, allow or confirm OneDrive to start syncing.
Synced libraries appear in File Explorer (Windows) or Finder (macOS), usually under:
- OneDrive – Bowdoin College
- Bowdoin College (for shared libraries)
3. Work with Synced Files
You can open, edit, copy, or move these files directly from your desktop. Changes sync automatically when online, and you can work offline if needed - updates happen once you reconnect.
Move Files from Your Computer or Network Folder into a Teams Channel
To bring files from a network drive (like a department shared drive) into Teams, first make sure the Teams channel’s document library is synced (see Step 2 above), then follow the instructions for your operating system.
Windows
- Open File Explorer.
- In the left sidebar, locate the synced Teams folder under Bowdoin College. Keep this window open.
- Open a second File Explorer window and navigate to your existing files or folders on your local drive or department network drive.
- Select the files or folders you want to move.
- Right-click the selected items, choose Cut (or press Ctrl+X).
- Switch to the synced Teams folder window, right-click inside the folder, and choose Paste (or press Ctrl+V).
Tip: You can also drag and drop files between the two File Explorer windows. Hold Shift while dragging to move (instead of copy) when both locations are on different drives.
macOS
- Open Finder.
- In the left sidebar, locate the synced Teams folder under Bowdoin College. Keep this window open.
- Open a second Finder window (File → New Finder Window, or press ⌘+N) and navigate to your existing files or folders on your local drive or department network drive.
- Select the files or folders you want to move.
- Press ⌘+C to copy, then switch to the synced Teams folder window.
- Press ⌘+Option+V to move the items (this pastes and removes them from the original location).
Tip: You can also drag and drop files between the two Finder windows. Hold ⌘ while dragging to move (instead of copy) when both locations are on different volumes.
After Moving
Files will upload and become available to everyone in the Teams channel automatically. Large moves may take time to finish syncing—keep your computer online until sync completes.
Stop Syncing Files You No Longer Need
- Click the OneDrive cloud icon (Windows taskbar or Mac menu bar).
- Go to Settings → Account.
- Select the library you want to remove and click Stop sync.
This removes the files locally but keeps them safely stored in Teams/SharePoint.
Fix Sync Issues
- Check your internet and sign-in status.
- Look for sync warnings on the OneDrive icon.
- Restart OneDrive or your computer.

Sync Restrictions and Best Practices
File & Folder Limits
- Don’t sync libraries with over 300,000 files.
- Keep paths under 400 characters.
- Avoid characters like
* : < > ? / \ |.
Library Settings
- Syncing isn’t supported if required check-out or metadata columns are enabled.
- Custom permissions or policies may block sync.
System Tips
- Keep OneDrive up to date.
- Don’t sync on shared/public devices.
- Manage folders through SharePoint or OneDrive—not directly by renaming in Finder/File Explorer.
Recommended Best Practices
- Only sync what you need offline to save storage and reduce errors.
