Environment
This article applies to current Bowdoin faculty and staff who have been granted access to a shared calendar and want to open it in Outlook for Windows.
- Covered: Outlook for Windows (desktop app)
- Not covered: Outlook for Mac or Outlook Online — see How to access a shared calendar in the Related Articles section for those platforms
- Requirement: The calendar owner must grant you access first. Contact the Service Desk or the calendar owner if you have not received access.
Resolution
- Open Outlook and click the Calendar icon in the bottom-left navigation bar.

- Click the Folder tab in the ribbon at the top of the window.
- In the Share section of the ribbon, click Open Calendar.

- From the drop-down menu, click Open Shared Calendar…

- In the dialog box, type the name of the calendar or person whose calendar you want to open. If you do not know the exact name, click Name… to search.
- Click OK.

- The shared calendar appears in the left panel under My Calendars or Other Calendars. You can toggle it on or off by checking or unchecking its name.
Note: The actions available to you in a shared calendar depend on the permissions the calendar owner has granted. See How to manage permissions in a shared calendar in the Related Articles section for details on permission levels. If the calendar belongs to a room or group, contact the Service Desk for guidance.
