How to view a shared calendar in Outlook for Windows

Question or Issue:

How can I open a calendar that a colleague or group has shared with me?

You can use Outlook to allow another person, known as a delegate, to receive and respond to meeting requests on your behalf.

Open your calendar by clicking on the Calendar banner at the bottom of the window

  1. From the "Folder" tab, choose Open Calendar in the "Share" section to expose the drop-down options.
  2. From the drop-down, click Open Shared Calendar...
  3. Enter the name of the calendar or person whose calendar you'd like to open. If you don't know the name exactly, click the Name... button to search it. Once done, click OK
  4. The calendar will appear in the left-hand pane under My Calendars.

The features you can use in the calendar depend on the permissions you have. Permissions in a shared calendar are set by the calendar owner. See how to manage permissions in a shared calendar for more information. If the calendar is shared by a room or a group, please contact the Service Desk for guidance.
