Set Up Your Teams Desk Phone for the First Time

Environment

This article applies to Bowdoin College faculty and staff setting up a Poly Teams desk phone for the first time. Poly phones receive power through their Ethernet connection (Power over Ethernet) — no separate power cable is needed.

  • Required: An active Bowdoin network wall port and a Bowdoin Microsoft 365 account with Teams Calling enabled
  • Network passthrough: The Poly phone can pass network connectivity through to your computer, just as the previous Cisco phones could — see Step 1 below for cable placement

Resolution

Step 1 — Connect the phone

  1. Unbox the phone and assemble the handset and stand.
  2. Connect the Ethernet cable from the wall port to the port on the back of the phone marked with a three-computer icon (the network input port).
  3. If you want to connect your computer through the phone: plug an Ethernet cable from the phone's single-computer icon port (the passthrough port) to your computer. This lets the phone and your computer share the wall connection.
No power cable needed: Poly phones receive power through the Ethernet connection (Power over Ethernet / PoE). The phone will turn on automatically once the network cable is connected to an active wall port.

Step 2 — Complete initial phone setup

The first time the phone powers on, it will walk through a short setup sequence. Follow the on-screen prompts:

  1. Set an Admin PIN for the phone when prompted. This is a 4-digit PIN used to access device settings. Note it somewhere secure in case you need it later.
  2. Accept the Poly End User License Agreement.
  3. Select your preferred language.
  4. Set the time if prompted, or accept the default. (The phone will sync to network time automatically.)
  5. Accept the default SNTP server (pool.ntp.org) and select Next.
  6. When asked whether to continue with Microsoft Teams, select Yes. The phone will reboot into Teams mode.

Step 3 — Sign in with your Bowdoin account

  1. After rebooting, the phone will display a prompt to visit https://microsoft.com/devicelogin on another device.
  2. On your computer or mobile device, open a browser and go to https://microsoft.com/devicelogin.
  3. On the phone, tap the button to display the pairing code.
  4. Enter the code shown on the phone into the browser window on your computer.
  5. Sign in with your Bowdoin Microsoft 365 account when prompted.
  6. Approve the Microsoft Authorization Broker request to allow the phone access to your account.
  7. The phone will connect to your Teams account automatically and display your Bowdoin phone number on the home screen.
Done: Your Poly phone is set up and signed in. You can now make and receive calls at your Bowdoin number from the desk phone.
