How to request event technology assistance for an event

Environment

This article applies to members of the campus community—faculty, staff, and students—who are hosting an event that may need "production assistance" or AV support such as microphones, speakers, or recording of the session. Bowdoin hosts hundreds of events every year for the college community and its guests.

  • Who: Event hosts and organizers
  • What: Microphones, speakers, session recording, and other AV/production support for events
  • Not in scope: Reserving the room or event space itself, which is done through Campus Groups (see the related article on requesting a room reservation and managing an event).

Resolution

Events—both those that are public and appear on the campus calendar and those that are not public—should generally be reserved through Campus Groups before technology support is requested. The Office of Events and Summer Programs coordinates event spaces and setup, and Information Technology provides AV and production support. Record the session yourself

In many situations, using Microsoft Teams, Zoom, or Panopto, hosts can record their own session with a standard web cam. In these cases no personnel are needed to "produce" the event—the recording can be set up and managed by the host.

Request production or AV support

  1. Reserve your event and room through Campus Groups and wait for confirmation from the Campus Scheduler.
  2. Submit your technology needs using the Provide Technology Needs for Approved Event request form.
  3. A technician will follow up to confirm the microphones, speakers, recording, or other production support needed for your event.
Reserve the room first: Submit AV and technology requests only after your event space has been approved. AV or technology requests are separate from the room reservation itself.
