Environment

This article applies to users who use Microsoft Teams and SharePoint as part of Microsoft 365 on a Windows or macOS laptop. It is relevant when you want to access files offline or organize shared content more efficiently on your personal device. This guidance is intended for individuals who work remotely, collaborate in Teams-based projects, or need continuous file access while on the go. The instructions assume that the OneDrive desktop sync app is installed and that users have proper permissions to shared SharePoint or Teams document libraries.

Resolution

  1. Set Up OneDrive Sync: Make sure the OneDrive app is installed on your laptop. Open it and sign in using your Microsoft 365 work or school account. This is the tool that handles syncing for both Teams and SharePoint files.
  2. Sync a SharePoint Document Library:
    • Go to your SharePoint site using your web browser.
    • Navigate to the document library you want to sync.
    • Click the "Sync" button near the top of the page.
    • If prompted, confirm opening the OneDrive app. This will begin syncing files to a folder on your laptop.
  3. Access Teams Files via SharePoint:
    • Each Microsoft Teams channel creates a folder in the related SharePoint library.
    • To sync these files, follow the same steps as syncing a SharePoint library by clicking “Open in SharePoint” within the Teams Files tab, then "Sync".
  4. Use File Explorer or Finder to Access Synced Files: Once synced, files appear in the left sidebar under “CompanyName” or “OneDrive - Organization.” You can work with these files as you would with local ones. They're automatically backed up and synced when you're online.
  5. Stop Syncing a Library You No Longer Need:
    • Click the OneDrive cloud icon in your system tray or menu bar.
    • Go to “Settings” > “Account”.
    • Find the library you want to stop syncing and click “Stop sync”.
    • This will remove the files from your laptop, but they remain safe in the cloud.
  6. Troubleshoot Sync Issues:
    • Ensure you're connected to the internet and signed into the correct account.
    • Check the OneDrive icon for error messages or status warnings.
    • Restart OneDrive or your laptop if syncing pauses unexpectedly.
