Environment
This guide is for users of Microsoft Teams and SharePoint through Microsoft 365, using a Windows or macOS laptop. It’s especially helpful for remote workers, team collaborators, and anyone needing offline access to shared files. These steps assume:
- You have the OneDrive sync app installed.
- You have permission to access the SharePoint or Teams files you want to sync.
Steps to Sync and Manage Files
1. Set Up OneDrive Sync
Ensure the OneDrive app is installed on your laptop. Open it and sign in with your Microsoft 365 work or school account. This app manages syncing for both SharePoint and Teams files.
2. Sync Microsoft Teams Files
Files shared in a Teams channel are stored in a connected SharePoint library. To sync:
- In Teams, go to the Files tab of the channel.
- Click Sync in the menu bar to start syncing via OneDrive.
3. Access Synced Files on Your Laptop
Once synced, your files appear in File Explorer (Windows) or Finder (Mac), usually under:
- OneDrive – Bowdoin College
- Bowdoin College (for shared libraries)
You can work with these files like any others on your laptop. Changes are synced automatically when you're online.
4. Stop Syncing a Library
- Click the OneDrive cloud icon in your taskbar (Windows) or menu bar (Mac).
- Go to Settings > Account.
- Find the library you want to remove and click Stop sync.
This removes the files from your device, but they remain safely stored in the cloud.
5. Troubleshooting Sync Issues
- Check your internet connection and that you're signed into the correct account.
- Look at the OneDrive icon for sync errors or warnings.
- Try restarting OneDrive or your laptop.
- Visit support.microsoft.com/onedrive for additional help.
Sync Restrictions and Best Practices
File and Folder Limitations
- Avoid syncing libraries with **more than 300,000 files**. This can severely impact performance and cause sync errors.
- Individual file paths (including folder names) must be **under 400 characters**.
- Certain characters (e.g.,
* : < > ? / \ |
) are not allowed in file or folder names.
Library-Specific Restrictions
- You can't sync libraries that require check-in/check-out or have required metadata columns unless those settings are changed.
- Some libraries may have **custom permissions or security policies** that block syncing.
System and User Considerations
- Use the **latest version of OneDrive** to avoid bugs and ensure full compatibility.
- Be cautious syncing to shared or public computers—synced files are stored locally unless explicitly removed.
- Don’t manually move or rename the sync folder via File Explorer or Finder; use the SharePoint site or OneDrive controls to manage sync properly.
Best Practices
- Sync only the libraries you truly need offline to conserve local storage and reduce sync load.
- Regularly review and remove old or unnecessary syncs in OneDrive settings.
- If you're dealing with sensitive data, check with your IT team about approved usage and security protocols.
