Environment

This article applies to all Bowdoin College students, faculty, and staff who use Microsoft Outlook with the Focused Inbox feature enabled. The steps below cover three platforms:

  • macOS: Sequoia (15.x), Tahoe (26.x), or newer — on Bowdoin-issued MacBook Pro, MacBook Air, MacBook Neo, iMac, or Mac Mini
  • Windows 11: On Bowdoin-issued Dell Laptop or Dell Desktop, using the Outlook desktop application
  • Outlook on the web: Any device using outlook.office.com in a browser
Note: Focused Inbox must be turned on in Outlook for these steps to apply. If you do not see a Focused or Other tab in your inbox, Focused Inbox may be disabled. See Turn the Focused Inbox Off or On in Outlook in the Related Articles section.

Resolution

When you right-click a message and choose to move it “always” to Focused or Other, Outlook remembers your preference and applies it to all future messages from that sender. The steps below walk you through this process on each platform.

Move Email on macOS (Outlook Desktop App)

  1. Open Outlook on your Mac.
  2. In your inbox, click the Focused or Other tab to find the message you want to move.
  3. Right-click the message.
  4. In the context menu that appears, choose one of the following:
    • If the message is in Other and you want it in Focused: select Move to Focused, then choose Always Move to Focused to apply the rule to all future messages from this sender.
    • If the message is in Focused and you want it in Other: select Move to Other, then choose Always Move to Other to apply the rule to all future messages from this sender.
  5. Outlook will confirm the move and remember your preference for that sender going forward.
Done: Future messages from this sender will now land in the tab you selected automatically.

Move Email on Windows 11 (Outlook Desktop App)

  1. Open Outlook on your Windows 11 computer.
  2. In your inbox, click the Focused or Other tab to find the message you want to move.
  3. Right-click the message.
  4. In the context menu that appears, choose one of the following:
    • If the message is in Other and you want it in Focused: select Move to Focused, then choose Always Move to Focused to apply the rule to all future messages from this sender.
    • If the message is in Focused and you want it in Other: select Move to Other, then choose Always Move to Other to apply the rule to all future messages from this sender.
  5. Outlook will confirm the move and apply your preference for all future messages from that sender.

Move Email in Outlook on the Web

  1. Open a browser and go to outlook.office.com, then sign in with your Bowdoin credentials.
  2. In your inbox, click the Focused or Other tab to find the message you want to move.
  3. Right-click the message.
  4. In the context menu that appears, choose one of the following:
    • If the message is in Other and you want it in Focused: select Move to Focused, then choose Always Move to Focused to apply the rule to all future messages from this sender.
    • If the message is in Focused and you want it in Other: select Move to Other, then choose Always Move to Other to apply the rule to all future messages from this sender.
  5. Outlook on the web will confirm the move and remember your preference for that sender.
Note: Your Focused Inbox preferences sync across Outlook on the web and the Outlook desktop apps, so a change made in one place will usually be reflected in the others within a short time.
