This article applies to anyone listed as an owner of a Microsoft Team at Bowdoin. Every responsibility described here requires Team owner permissions, and members cannot carry them out.

Members of a Team can post messages, create standard channels, upload files, and add apps. Owners hold the controls that shape the Team itself. Only an owner can edit or delete the Team, add a guest, change Team-wide permissions for channels and tabs, archive or restore the Team, renew the Team when it is about to expire, and create shared channels.

Keep at least two owners of every Team
Every Team should have at least two owners, and this is the most important item on the page. A single owner is a single point of failure: expiration warnings go only to owners, and if the only owner leaves the College the Team becomes orphaned, so nobody can add members, change settings, or renew it. Respond to Team expiration and renewal notices
Bowdoin's Teams expire after 180 days of inactivity, and Microsoft emails owners 30 days, 15 days, and 1 day before the expiration date. If nobody acts, the Team is deleted together with its SharePoint files, its OneNote notebook, and its Planner plans, and there is a 30-day window in which the Team can still be restored. Decide whether new work becomes a folder, a channel, or a separate Team

Set expectations about deleting files, and lock down what must not change
Anyone with edit access can delete a file or a folder for everyone in the Team, not only for themselves. Shared libraries work that way by design, and it is worth saying out loud to a new Team rather than letting people discover it. - Each term: review the owner and member lists, and confirm the Team still has at least two active owners.
