How to open a shared mailbox in Outlook for Windows, MacOS and Outlook Online

Office 365 gives you the ability to share your inbox with other Bowdoin faculty, staff and students and it allows you to access mailboxes that have been shared with you. The following steps walk you through opening a shared email account from Outlook for MacOS, Windows and Outlook Online.

Open a shared mailbox in Outlook for MacOS

  • Open Outlook
  • From inside of Outlook, click on the Tools tab.
  • Click on the Accounts button.
  • Select your Bowdoin account (should be selected by default).

  • Click Advanced... on the lower-right.
  • Choose the "Delegates" tab.
  • Click the + under the "People I am a delegate for" section.
  • In the "Choose a person" window, type in the name or email address of the person or mailbox you are trying to add.
  • Once located, select the name from the list and click Add
  • Click OK to exit.
  • Close the "Accounts" window.
  • Click on the "Home" tab and then click on the Send & Receive button on the right in the ribbon.

Open a shared mailbox in Outlook for Windows

  • Open Outlook
  • From inside of Outlook, click on the File tab.
  • Click Info from the left column and click on Account Settings on the right in the "Account Information" pane.
  • Choose Account Settings again from the drop-down menu.
  • In the "Account Settings" window, click on Change... in the "Email" tab.
  • Click More Settings... in the lower right.
  • Click on the "Advanced" tab.
  • Under the "Mailboxes" section, click on the Add... button.
  • Type in the name of the account you are trying to open. Click OK.
  • Click OK on the "Microsoft Exchange" window.
  • Click Close on the "Account Settings" window.
  • When you return to your main Outlook window, you should see the shared account will appear under your mailbox in the list of folders on the left.

Open a shared mailbox in Outlook Online

  • Log in to Outlook Online (https://outlook.office.com)
  • Click on your icon in the upper-right corner.
  • Click on Open another mailbox... from the list of options.
  • In the "Open another mailbox" window, Start typing the name of the person or mailbox you want to open. Once the name appears, select it from the list.
  • Click Open.
  • The new mailbox will open in a new tab or window in your browser.

Open a shared mailbox in Outlook Online to appear under your inbox

  • Log in to Outlook Online (https://outlook.office.com)
  • Right-click Folders in the left navigation pane, and then choose Add shared folder
  • In the Add shared folder dialog box, type the name or email address of someone who has shared a mailbox with you, and then click Add. Or, type the name of the shared mailbox you are a member of
  • The shared mailbox displays in your Folder list in Outlook on the web. You can expand or collapse the shared mailbox folders as you can with your primary mailbox. You also can remove the shared mailbox from your Folder list. To remove it, right-click the shared mailbox, and then click Remove shared folder.
